Overview

The Sales Support position provides day-to-day administrative and clerical support for the Sales Department at IMS. Aside from typical administrative duties, he or she will also monitor legal news, trends and changes within specific law firms and apprise team members of such changes.
 
ESSENTIAL DUTIES:

  • Provides general administrative support to the Client Managers/Sales team
  • Reads and interprets case filings in order to identity potential need for expert services
  • Mining data and providing reports to assist in the analysis of existing and potentially new business
  • Reviews, edits, designs and proofreads documentation and/or presentations
  • Assists team with all aspects of project management as it relates to active expert searches/placements
  • Interacts with clients to provide information as requested by Client Managers
  • Monitors new activity through daily alerts for existing court cases in Bullhorn, alerts CM, and provide updates to job/case as needed
  • Analyzes, researches and documents detailed information through legal dockets and news venues focusing on activity within the federal and state courts, the International Trade Commission (ITC) and other various specialized courts
  • Conducts research and analysis of data for the purpose of report generation

KEY RESPONSIBILITIES: 

  • Supports strategy, approach and relationship planning for targeted, top Amlaw 100 and 200 law firms
  • Enters case information for jobs/searches – Researches any missing case specs as needed
  • Identifies and gathers patents and any applicable documentation needed to be attached to the job
  • Sets up sales meetings and interviews (Web Ex, video conferencing)
  • Conducts software checks prior to any scheduled video conference
  • Reviews and collects relevant case information from Court Link
  • Audits jobs entered into the system for accuracy and consistency
  • Runs reports as needed per Management
  • Assists Client Managers with send outs and scheduling interviews
  • Performs research and monitors legal news of targeted firms
  • Acts as liaison between Sales and Marketing Departments as needed for special projects
  • Produces key results in legal research through active use of tools and systems
  • Audits contact and company records in database system
  • Supports reception as back-up for the main office phone lines
  • Supports specification document review by management
  • Back up for other departments as needed

Skills

EDUCATION & TECHNICAL REQUIREMENTS:

  •  Minimum of two (2) to five (5) years of business experience, preferably within a professional services firm or legal entity
  • Bachelor’s degree in Business, Library Science, Journalism or English preferred
  • High proficiency with MS Office 2010/2013– specifically Word, Excel, PowerPoint and Outlook-   required
  • Knowledge of legal database systems such as LexisNexis a plus
  • Knowledge of sales database systems such as Salesforce a plus
  • Seasoned experience and working knowledge of the Internet, online databases and search engines a must
